Activations are effective because they uniquely connect brands directly with their audience in person. During an event, brands have consumers’ undivided attention and an opportunity to educate, promote, and entertain. After all, the goal of public relations is to relate to your public. Events are a powerful way to engage your audience and build genuine relationships. 

The downside? Activations can be costly, time-consuming to plan, and require smart amplification strategies to ensure strong turnout.

Starting out with grand ideas without a clear budget can lead to disappointment and wasted resources. Get clear on the size and scope of your event before moving forward.

The good news? There are plenty of creative ways to offset costs. Strategic partnerships with venues, entertainment, and food vendors can help reduce on-site expenses. If you’re hosting a public event with high anticipated turnout, sponsorships can significantly boost your budget. That’s why working with an experienced event PR team is crucial—they can help guide the process, often saving you money in the long run.

 

Pick a Venue That Works for Your Audience

Location matters more than you might think. Beyond selecting a city or region, consider the local habits and preferences of the audience you want to attract. Ask yourself:

  • Will attendees be traveling, or is the event primarily for locals?
  • Are you tying the activation to a larger event, like Coachella or SXSW?
  • Is there ample parking or access to rideshares in the area?
  • What does the venue look and feel like at different times of day?

Understanding how your audience interacts with the location helps ensure strong attendance and a smooth event experience.

 

Amplify, Amplify, Amplify

It goes without saying: a huge part of an activation’s success lies in the planning and promotion leading up to it. At BLND, we’ve worked on hundreds of pop-ups, events, and activations, and we’ve seen a clear correlation between early preparation and strong results.

Start by building your invite list early, and be mindful of competing events. For example, if you’re hosting a film and TV writers’ awards gala that takes place the same week as the Oscars, you’ll find your target media contacts will be booked with bigger coverage opportunities; missing a valuable chance to maximize exposure.

If your event is open to the public, build community online first. Promote the event on social media, use countdowns, and post in community spaces like Facebook Groups or Reddit threads. Create a landing page (tools like Partiful work great) and offer incentives to RSVP (like giveaways or exclusive perks) to help track potential attendees.

Leverage local influencers and “things to do” pages, and consider partnerships to amplify your message. Pitch to local media and get listed on event calendars and roundups. Any organic promotion you do can help generate buzz and word-of-mouth interest.

And don’t let the promotion stop when the event ends. Share user-generated content and influencer posts, create an event recap Reel, and publish highlights on your website. A strong post-event PR strategy can boost conversions and extend the impact of your activation long after the doors close.
