Event planning is undeniably a lot of work, but there are steps you can take to make the process easier for everyone. Starting to plan your event as early as possible is always the best option. From choosing a location to ensuring all your key guests can attend, the more time you have to prepare, the more likely you are to get everything just how you want it. Here are a few tips we’ve put together to make help make your big day run more smoothly.
Have a schedule
One of the best things you could do for your event planning experience is to make the most detail-oriented day of schedule possible. Put everything you can think of on your schedule: what time all your workers will arrive, what time you will start serving food, when your key speaker will start, when to signal the end of the event, etc. The more detailed this list is, the more likely things will go off without a hitch because everyone knows what is expected and at what time.
Prepare for the worst
In reality, you can prepare as much as you want, but things can still go wrong. The best way to combat this is to have backup plans that can be ready at the blink of an eye. If you’re hosting an outdoor event, always have a plan for if the weather doesn’t cooperate, whether that’s a tent or a different indoor venue. Additionally, always try to have extra things like food, souvenirs, etc. You don’t want to run out and have some of your guests feeling left out. Last but certainly not least, always have an emergency kit close by, you never know what might happen.
Lead by example, enjoy yourself!
If the people running the event seem to be in good spirits, it will spread to the guests. Try to relax and enjoy the event that you put so much hard work into! To calm your mind, do one last final walk-through of the event space to double check that everything is just how you want it. Then, let the event run how you planned it to, have a smile on your face, and watch your guest enjoy the experience you put together.
Event planning doesn’t need to be a nightmare, plan ahead and it can be a very rewarding experience. Use these tips to ensure your next event is a success!
